Privacy Policy

The short version

We think you should be able to understand this in a minute, so here it is up front.

  • We don't sell your data. Not to anyone, ever.
  • We don't train AI on your appraisals. We don't use your reports to build or improve any AI model.
  • We don't keep what you send to AI fill. Your inputs are passed to the AI provider, the answer comes back, and we store nothing from that exchange except a count of tokens used for billing.
  • Your appraisal content is yours. We store it so the app works, and it goes away when you delete your account.
  • Deleting your account deletes your data. Immediately and permanently, from inside the app. No email, no waiting period.

The rest of this page is the detail behind those five points.

1. Who we are

Appraisio is appraisal software for licensed real estate appraisers, operated by Appraisio, LLC ("Appraisio", "we", "us").

Appraisio, LLC is a Delaware limited liability company. Contact us any time at support@appraisio.ai — it reaches a person, not a ticket queue.

2. What we collect

Your account. Your email address and name, plus a password managed by Firebase Authentication (a Google service). We never see or store your password ourselves — Firebase handles it. If you set a signing PIN, we store it hashed, never in plain text.

Your appraisal work. This is the bulk of it: property addresses and characteristics, inspection notes, comparable sales, market data, sketches and floor plans, photographs and documents you upload, report templates, saved comparables, and your report signatures.

Some of this is personal information about people who are not you — property owners, occupants, contacts. You are responsible for having the right to give it to us, and we handle it under this policy the same way we handle yours.

Billing. Your plan, subscription status, and invoice history. Payments run through Stripe, and card numbers never touch our servers — Stripe collects them directly.

Technical data. Standard server logs (IP address, timestamps, which endpoint was called) and error reports. We use Sentry for crash and error monitoring, configured so it does not attach personal data to error events.

Website analytics. On our marketing site (appraisio.ai) we count page views with Plausible, which is cookieless, stores no personal data, and can't identify you or follow you across sites. It runs on the marketing site only — never inside the app, and it never sees your appraisal work. Details are in our Cookie Policy.

Advertising on the marketing site. appraisio.ai also runs the Meta Pixel so we can advertise to appraisers on Facebook and Instagram. It sets a cookie and sends Meta the pages you viewed on the marketing site, your IP address, and browser details, which Meta may connect to your Facebook or Instagram account. We use that to show ads to people who visited and to find similar audiences. It runs on the marketing site only, never inside the app, and we never send Meta your account details or your appraisal work. You can opt out in one click on our Cookie Policy, and we honor the Global Privacy Control browser signal automatically.

What we don't collect. No advertising trackers inside the app. No profile of you as an individual. No session recording — we never replay your screen. No location tracking beyond property addresses you type in yourself.

3. How AI features use your data

This is the section most appraisal software is vague about, so we're being specific.

Appraisio has two AI-powered features:

AI fill takes information you provide — typed notes, dictated notes, uploaded documents and photos — and turns it into structured appraisal form fields. To do that, we send your input to an AI model operated by a third-party provider that processes it on our behalf.

Market CSV mapping matches the column headers in an MLS export to our market-analysis fields. Only the column headers and a few sample values are sent — not your full spreadsheet, which stays in your browser. This also runs on a third-party AI model.

What you should know about both:

  • We do not store your AI inputs or the AI's outputs. There is no database of your prompts. Our logs record only the appraisal ID, which model ran, and how many tokens it used — for billing and troubleshooting. Not the content.
  • We do not train any AI model on your data.
  • AI output is a draft, not an appraisal. It can be wrong. You are the appraiser of record, and every AI-generated field is your responsibility to verify. Nothing here changes your USPAP obligations.
  • Dictation uses Apple's on-device speech recognition on iPhone and iPad. Your voice is transcribed by the operating system; we receive the resulting text, not the audio.

Which providers we use, and changing them. The model behind each AI feature is chosen from a small set of commercial providers, and we change that choice as models improve, prices move, and capacity requires. We deliberately don't name a specific provider on this page, because naming one would make this page wrong the day we switch. What stays constant is the part that actually affects you: the information described above is all that is ever sent, it's sent only to produce your draft, and we retain none of it.

We may change AI providers at any time, without notice to you, as long as those commitments hold and the categories of information above don't change. If we ever begin sending a new category of information to an AI provider, or using it for a new purpose, we'll update this page and tell you before that change takes effect.

If we ever begin retaining AI inputs to improve the product, we will say so here, explain how long we keep them, and give you a way to opt out — before we start.

4. Who we share it with

We don't sell your data. The one thing we share for advertising is marketing-site browsing data with Meta, described below and in our Cookie Policy, and you can opt out of that. Everything else goes to the vendors below to run the service, and each gets only what it needs to do its job.

  • Firebase Authentication (Google) — signs you in and secures your account. Receives your email, name, and password.
  • Render — hosts our servers and database. Holds your stored appraisal data.
  • Amazon Web Services (S3) — stores your photos and files. Receives your uploads.
  • Vercel — hosts our website and web app. Receives standard web request data.
  • Stripe — runs payments and subscriptions. Receives your name, email, and payment details.
  • Third-party AI model providers — power AI fill and market CSV mapping. Receive the content you submit to AI fill, and the column headers and sample values you submit to CSV mapping. We don't name individual AI providers here and may change them without notice, on the terms set out in Section 3.
  • RentCast — looks up property data. Receives the property addresses you search.
  • Geocodio — turns addresses into map coordinates. Receives property addresses.
  • Stadia Maps — renders location maps. Receives property coordinates.
  • Resend — sends account emails. Receives your email address.
  • Sentry — monitors errors and crashes. Receives technical error data.
  • Plausible — counts page views on our marketing site. Receives the page visited and referring site, with no cookie and no identifier. Not used in the app.
  • Meta — runs our Facebook and Instagram ads. Receives the pages you viewed on our marketing site, your IP address, browser details, and a cookie identifier, unless you opt out. Not used in the app, and never receives your account or appraisal data.

We may also disclose information if the law requires it — a subpoena, court order, or valid legal process — or to protect the safety and rights of people or of Appraisio. If our business is ever sold or merged, your data may transfer with it, and we'll tell you before that happens.

5. How long we keep it

Your appraisal data stays as long as your account is open. You're producing records you may need to retain under USPAP and state law, so we don't quietly expire them.

AI fill inputs and outputs are not retained by us at all, as described above.

Server logs are kept for a short operational period — generally under 90 days — then rotated out.

Billing records are kept as long as tax and accounting law requires, typically seven years, even after you close your account.

6. Deleting your account

You can delete your account yourself: Settings → Account → Delete account. You'll confirm and re-enter your password.

Deletion is immediate and permanent. It removes your appraisals, form data, uploaded files and photos, sketches, templates, saved comparables, signatures, and your login. Any active subscription is cancelled at the same time.

We cannot undo it, so export anything you need first. Some backup copies may persist for a limited period before being overwritten on their normal cycle, and we keep the billing records described above.

7. Your rights

Wherever you live, you can access, correct, export, or delete your data — mostly directly in the app, and otherwise by emailing support@appraisio.ai. We'll respond within 30 days, and we won't charge you or degrade your service for asking.

If you're in California (or another state with a similar privacy law), you have the right to know what we collect and why, to delete it, to correct it, and to opt out of sale or sharing. We don't sell personal information. We do "share" it in the CCPA/CPRA sense in one place: the Meta Pixel on our marketing site sends browsing data to Meta for targeted advertising. To opt out, use the Do Not Sell or Share My Personal Information control on our Cookie Policy, or turn on Global Privacy Control in your browser, which we honor automatically without asking you to do anything else. We won't treat you differently for opting out.

If you're in the EEA, UK, or Switzerland, you have rights of access, rectification, erasure, restriction, portability, and objection. Our legal basis for processing is performance of our contract with you, and our legitimate interest in securing and improving the service. You may complain to your local supervisory authority.

Your data is stored and processed in the United States. Some of our vendors process data elsewhere; where that involves transferring data out of the EEA or UK, it's covered by Standard Contractual Clauses.

8. Security

Your data is encrypted in transit (HTTPS/TLS everywhere) and at rest. Database access is restricted per-user at the row level, so accounts can't reach each other's records. Card data is isolated at Stripe. Passwords are handled by Firebase and never stored by us.

No system is perfectly secure, and we won't claim otherwise. If a breach affects your personal data, we'll notify you and any required regulator without undue delay.

9. Children

Appraisio is a professional tool for licensed appraisers. It isn't directed at anyone under 18, and we don't knowingly collect information from children. If you believe a child has given us information, email us and we'll delete it.

10. Changes to this policy

We'll update this page when our practices change. If a change is material — a new category of data we collect, a new purpose we put it to, a change to how long we keep it — we'll email you or tell you in the app before it takes effect, not after. The "last updated" date at the top always reflects the current version.

One exception, stated plainly. Changing which third-party AI provider processes your AI fill or CSV mapping requests is not by itself a material change, and we may make it without notice — so long as the categories of information sent, the purposes they're used for, and the commitments in Section 3 all stay as described.
